OTL is part of Oracle HCM Suite.
This post is to introduce how OTL processes timecard approvals by answering to questions.
- What are the approval styles ?
Approval styles define the time entry rules and approval methods to use for each app. The OTL app auto approves all time cards by default.
If you want that the app approve some timecards in a different way, then you use the Approval Rules region to set up conditional processing.
For example, Oracle HR, Oracle Payroll, Oracle Projects can retrieve time and labor data according to a schedule and retrieval rules to define.
2. What are the predefined approval styles in OTL?
The predefined approval styles are:
- OTL Auto Approval: use the Auto Approve method and is the default approval style. If you want OTL to auto approve Timecards, then you can leave the Approval Rules region blank.
- approve on Submit: Is a special style that does not use an approval method.
3. If you use OTL for Oracle Projects
Use the Auto Approve approval style:AutoApprove Timecards profile option to Yes if you want Timecards to be approved automatically, and to No, if you want them to be approved by the HR Supervisor.
If you require other rules for Oracle Projects approvals, consider customizing they Oracle Projects AutoApproval client extension.
4. How can I track why workers submit late or changed time entries on their Timecards?
You use the Change and Late Audit (CLA) feature on OTL.
This feature enables you to use time entry rules to determine which time entries you require for auditing purposes.
5. Which methods to approve a timecard ?
You can define approval of a person’s time to take place using methods for a given app.
The methods are :
- Auto Approve : this method specifies that time and labor data is pre-approved and an approval does not take place.
- person – an explicitly specified person.
- HR Superior :the current supervisor of the worker’s primary assignment.
- formula – the approval process uses the formula you identify in the identifier field.
- Worflow: the approval process uses the workflow process you identify in the Identifier field.
- Entry Level Approval : the approval process uses the Entry Level Components to determine what entries belong to what approver.
- Project Manager : for projects related time entries, the approval process uses this approval method to identify the appropriate project manager and sends the timecard for approval.
6. How do workers enter their time using OTL?
workers use a self-service web page in the format of a timecard.
workers on the move can enter their time and labor data in a spreadsheet and upload it later to the app.
workers can also use other entry devices such as time clocks, telephones, legacy entry systems. You can easily enter this data iinto OTL using the robust timecard API.
